Privacy Policy

Effective date: October 2026  ·  Volstrukt LLC, Austin, TX

1. What we collect

When you submit a project brief through our contact form, we collect the information you provide directly: your name, email address, phone number, and details about your project (type, size, budget, stage, location). We also collect standard web analytics data (pages visited, time on site, referral source) through Google Analytics and HubSpot tracking.

2. How we use it

We use your contact information to respond to your inquiry, route your brief to the right person on our team, and follow up about your project. We do not sell your information to third parties. We may send occasional follow-up emails about your project — you can opt out at any time by replying to any email.

3. Third-party tools

Your contact information is stored in HubSpot CRM (HubSpot, Inc., Cambridge, MA). Web analytics are processed by Google Analytics 4 (Google LLC). We also use the Meta (Facebook) Pixel to measure the performance of our advertising and understand how visitors interact with our ads; if we run campaigns on other platforms (such as LinkedIn), similar measurement tags may be used. These services operate under their own privacy policies, and we maintain data processing agreements with our providers.

4. Cookies

We use cookies for analytics (Google Analytics), CRM tracking (HubSpot), and advertising measurement (Meta Pixel). These cookies help us understand how visitors use the site, remember returning visitors, and measure the performance of our ads. You can disable cookies in your browser settings at any time, and you can manage tracking preferences through our cookie consent banner.

5. Data retention

We retain contact records in our CRM for as long as there is an active or potential business relationship. If you would like your information removed, email us and we will delete it within 30 days. Records in our client portal are part of a project's record and are handled as described in section 7.

6. Your rights

You have the right to access, correct, or delete your personal information. If you are a California resident, you have additional rights under the CCPA, including the right to know what data we hold and to opt out of any sale (we do not sell data). To exercise any rights, contact us at the address below.

7. My Volstrukt client portal

My Volstrukt (my.volstrukt.com) is the private project page we give our clients, their builders and their crews. This section explains how the portal handles your information. The rest of this policy also applies; where the two differ, this section is the one that applies to the portal.

What we collect and why

  • Your name, email address and phone number, and your role on the project (owner, builder or crew), from your Volstrukt account, our CRM or you. We use them to give you access, contact you about your project, and show your project team who is who.
  • Project information: build site address, schedule and milestones, drawings and documents, assembly guides, and delivery and panel records, so we can run your project and show you where it stands.
  • Photos, documents and messages you add in the portal, to review your build (for example, inspection photos), answer questions and keep the project record. Photos are resized when you upload them and their built-in location data is removed; we keep the time a photo was taken.
  • Approval records. When you approve a drawing, we record who approved it, when, a copy of what was approved, and your device's IP address and browser, so there is a reliable record of what was approved and by whom. We keep these records exactly as they were made and don't edit them.
  • Sign-in records. Instead of a password, we email you a one-time link, and we keep you signed in on that device for up to 30 days.
  • Join requests. Someone who scans a panel label can ask to join a project. We collect their name, email, phone, company and trade so the project owner can approve them. If they agree, we also add them as a contact in our CRM (HubSpot), linked to the project. We won't add anyone to marketing emails unless they ask.
  • Email delivery information, such as whether an email was delivered, bounced or was marked as spam, so we know when a message didn't reach you.
  • Basic usage statistics from Cloudflare Web Analytics, which doesn't use cookies or follow you across other sites.

The portal doesn't use advertising cookies or tracking pixels. We don't sell portal information or share it for targeted advertising.

Who can see it

  • Your project team: the project owner and the people the owner or Volstrukt adds. Anything you upload or post can be seen by your project team. Crew see less than owners; for example, they don't see other people's email addresses.
  • Volstrukt staff who need it for their work.
  • Our service providers: Cloudflare (hosting, storage, security and usage statistics), Resend (sending email) and HubSpot (our CRM). Google provides sign-in for Volstrukt staff only and doesn't receive client project data. We give each provider only what it needs, under agreements that limit how it can use the information.
  • When required: we may share information if the law requires it (for example, a subpoena or court order), to protect people's rights or safety, or as part of a merger or sale of our business. In a sale, this policy would continue to apply to your information.

How long we keep it

  • Project records, including drawings, approvals, photos and messages, are kept for the life of the project and afterwards for as long as we reasonably need them for warranty, legal and record-keeping purposes. After that, we delete them or remove what identifies you.
  • Sign-in links expire after 15 minutes; links in welcome and invitation emails work once and expire after 7 days. Signed-in sessions expire after 30 days.
  • People removed from a project lose access to it straight away. The project's record of what they did, such as their approvals and messages, is kept.
  • Deleted items may remain in backups for a short time before they're overwritten.

Your choices and rights

  • Email settings: choose “as it happens” or a weekly Friday digest on your project's Team page.
  • Access, correction or deletion: wherever you live, you can ask to see, correct or delete your information, or ask for a copy. Email info@volstrukt.com. We may need to confirm it's you, and someone can ask on your behalf with your written permission. Because portal records are part of the project record, the 30-day deletion in section 5 doesn't apply to them. We'll reply within 30 days and tell you what we can delete and what we need to keep, such as approval records required for legal or contract reasons.
  • If we say no, reply and ask us to look again. Asking about your privacy will never affect how we treat you or your project.
  • Leaving a project: ask the project owner or us to remove you.

Security, cookies and children

We use reasonable measures to protect your information, including encrypted connections, sign-in links that expire and access based on your role in the project. No system is perfectly secure, so we can't guarantee it. Please don't forward your sign-in emails, and tell us straight away if you think someone else has got into your account.

The portal uses one essential cookie to keep you signed in; the website cookies and consent banner described in section 4 don't apply to it. The portal is for adults working on a building project, isn't meant for anyone under 18, and we don't knowingly collect information from children.

Where your information is processed

Volstrukt is a US company and the portal is run for projects in the United States. Your information may be processed in the United States and in other countries where our providers operate. If we change how the portal uses your information in a significant way, we'll update this section and let active portal users know by email or in the portal.
